This policy explains how personal data is processed when you use www.irbissystems.com or contact ARMIKS about IRBIS Systems products. It covers an informational website with a product catalogue, without user accounts or online payments.
1. Who is responsible for your data
The controller is Przedsiębiorstwo Produkcyjno-Usługowe ARMIKS Sp. z o.o., ul. Biskupińska 21, 30-732 Kraków, Poland. 2. Information you provide when contacting us
Depending on how you contact us, we may receive your name, email address, telephone number, company or institution name, message and attachments. Please provide only information necessary to handle your enquiry.
The website has no contact form. Telephone links open your telephone application. Email correspondence takes place through your email application. The website code does not collect or store your correspondence.
Providing contact details is voluntary. Without details that allow us to respond, we may be unable to handle your enquiry.
3. Purposes and legal bases
- Preparing a quotation or taking steps at your request before entering into a contract, where you would be a party to that contract — Article 6(1)(b) GDPR.
- Responding to other questions and communicating with representatives of companies or institutions — Article 6(1)(f) GDPR. Our legitimate interest is handling correspondence and matters concerning our products and business relationships.
- Operating and securing the website, diagnosing errors and investigating incidents — Article 6(1)(f) GDPR. Our legitimate interest is protecting the website and its users.
- Establishing, pursuing or defending claims arising from contact or cooperation — Article 6(1)(f) GDPR, to the extent necessary to protect the controller’s rights.
The website offers no newsletter subscription or marketing consent form. Once a contract is concluded, data may also be needed to perform it and meet legal obligations. Information about that processing should be provided for the particular business relationship.
4. Technical data and logs
When you open a page, the hosting infrastructure receives data needed to handle the connection, including your IP address, request date and time, page address, browser and operating system information, and the result of the request. This information may be recorded in technical logs. Depending on your browser settings, the address of the previous page may also be transmitted.
The website runs on a dedicated server rented from OVHcloud in a German data centre, administered by PZM Technology Sp. z o.o. Sp. k. in Dębica, which provides IT support for ARMIKS. The server hosts only group websites, without external customers. Technical data is processed to deliver and protect the website.
Do not put personal information in a page address. Addresses and their parameters may appear in browser history and hosting logs.
5. How long data is retained
- Correspondence that does not lead to cooperation — up to three years from the end of the year in which contact ended, in connection with the limitation period for claims.
- Correspondence concerning a quotation or contract — throughout cooperation and subsequently until applicable limitation periods and statutory retention obligations, including tax obligations, have expired.
- Website server technical logs — up to 12 months.
- Website server backups — up to 60 days.
- Information concerning a detected incident — for the time needed to investigate it, preserve evidence, and pursue or defend related claims.
6. Who may receive data
Authorised persons acting for ARMIKS and the following providers participate in operating the website and handling communications:
- PZM Technology Sp. z o.o. Sp. k., Dębica — website server administration and IT support;
- OVHcloud — website server provider, with a data centre in Germany, and DNS services;
- ENDOR Computers, Kraków — company email hosting.
Data may also be disclosed to bodies entitled to receive it by law and, where necessary for handling claims, to legal advisers. Access is limited to the service provided.
The website server is in Germany and the email server is in Poland. We do not transfer data outside the European Economic Area. For information about safeguards, contact armiks@armiks.com.pl.
7. Cookies, analytics and external websites
The supplied website code does not set cookies and contains no advertising, analytics or tracking tools. Images, fonts and scripts are loaded from the same website; no external media players are embedded. The code does not use localStorage or sessionStorage.
Your browser may use its normal cache. Adding analytics, advertising or external embeds requires a new privacy assessment and, where required, consent before they are activated.
External links open other services only when clicked. Those services are subject to their own operators’ policies. This website does not profile you or make solely automated decisions with legal effects concerning you.
8. Your rights
Subject to the conditions set out in the GDPR, you may request access, rectification, erasure or restriction of processing. Where the statutory conditions are met, you also have the right to data portability, particularly for data processed automatically on the basis of consent or a contract.
You may object to processing based on legitimate interests on grounds relating to your particular situation. Where consent is the legal basis in a separate matter, you may withdraw it at any time without affecting the lawfulness of earlier processing.
To exercise your rights, email armiks@armiks.com.pl. Where there are reasonable doubts, we may request information necessary to verify your identity. You may also lodge a complaint with the President of the Polish Personal Data Protection Office. Information about complaints is available at uodo.gov.pl.
9. Scope and updates
This document applies to the website version described above. Adding a contact form, analytics, accounts or payments, or changing service providers, requires an update.
